Job Description
Job Summary Concept Design Build is seeking a detail-oriented Administrative Assistant to support our accounting and office operations, with a primary focus on Accounts Payable and Accounts Receivable. This position plays an important role in maintaining accurate financial records, managing invoices and payments, and supporting day-to-day office administration. The ideal candidate is organized, dependable, and comfortable working in a fast-paced construction environment. Strong communication skills, attention to detail, and experience with accounting software are highly valued. Bilingual candidates are encouraged to apply. Responsibilities • Manage accounts payable and accounts receivable processes, including invoice entry, payment tracking, and collections • Maintain accurate financial records using QuickBooks or similar accounting software • Coordinate material and supply orders with vendors and track deliveries • Organize and maintain company documents, files, and project records • Respond to client and vendor inquiries in a professional and timely manner • Assist with scheduling meetings, managing calendars, and coordinating office activities • Perform general administrative duties including data entry, filing, document preparation, and record keeping • Use Microsoft Office and Google Workspace for communication, reporting, and document management • Maintain professional phone communication with clients, subcontractors, and vendors • Assist with basic bookkeeping tasks and financial reconciliation when required Qualifications • Prior experience in administrative support, accounting assistance, or office management • Experience with QuickBooks or similar accounting software preferred • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace • Strong organizational and time management skills • Excellent attention to detail and accuracy when working with financial data • Strong customer service and communication skills • Bilingual (English / Spanish) preferred • Experience in construction, contracting, or project-based environments is a plus What We Offer • Full-time, stable position • Competitive salary based on experience • Opportunity for growth within a growing construction company • Professional and supportive team environment Join Concept Design Build and become part of a team dedicated to delivering high-quality construction and design services.
